Absence Expectations & Reporting

Students are expected to attend class on time each day to fully benefit from instruction. School attendance is compulsory until age 18 or high school graduation, and attendance procedures still apply after a student turns 18.

All absences, whether for one period, one day, or multiple days, must be verified within 3 days to avoid a truancy mark.

Parents/Guardians should use the absence reporting form as the preferred method to clear absences; phone calls are also accepted when necessary.

How to report an absence?

In an effort to be as efficient as possible with our limited clerical resources, we need families to follow this process for reporting absences:

We need all families to complete this Absence Reporting Form to report ALL absences.  Please bookmark this link, and/or save it on your phone.  This will help us immensely in the office.  

This is a new process for 2025/26.

Written Note

A handwritten note from a parent brought to the office on the day after returning from a full day absence, or the morning of an early departure can be accepted if the other two means of reporting are not available.  

Please Note

We are discontinuing the method of emailing our attendance office to clear an absence. 
Single emails have flooded our attendance office inbox and slowed down our workflow.
We appreciate your cooperation with this change.

 

What do I do if my child is arriving late?

Preferred Option:    Send a note with your child.  When they arrive, have them check in at the attendance office prior to attending class.

What do I do if my child is leaving early?

ADVANCED NOTICE REQUESTED.  IT COULD TAKE UP TO 45 MINS TO RETRIEVE A STUDENT.

AFTER 3PM, WE ARE UNABLE TO RETRIEVE KIDS FOR NON-EMERGENCY DISMISSALS.

Preferred Option:      Attendance Reporting Form

Option #2:    Send a note with your child.  When they arrive, have them check in at the attendance office prior to attending class and give us the note.

What do I do if my child is sick at school?

If you receive a phone call/text message from your child stating they are sick, please have your child get a pass from their teacher to the school nurse immediately.  The nurse will check them out to go home if necessary.

Information needed when calling the Attendance Office

  • Child's first and last name
  • Spelling of the last name
  • Parent/Guardian's name and phone number
  • Date of absence
  • Time of release (if early release applies)
  • Reason for absence/release

Short Term Independent Study

  • Short Term Independent Study (STIS) may be requested for absences lasting a minimum of three school days up to a maximum of 15 school days (three weeks).
  • Requests must be submitted at least five school days in advance, unless due to illness. If a student fails to complete the contract by the final due date, they will not be eligible for Independent Study again for one calendar year.
  • Please note: STIS is not available for students on suspension, students requiring Home Hospital services, or students on an IEP unless specifically authorized in their IEP.

Request Process

  • Parent/guardian submits a request form at least five days before the absence (include student’s name, 6-digit ID, reason, and dates).

  • For illness, the Google Form must still be completed; staff will initiate the contract with teachers.

  • Once submitted, the student will need to come to the attendance office to pick-up the contract and take it to teachers for assignments and signatures. Please allow 24–48 hours for this process.

  • Our staff will not be contacting you after a request is submitted.  It is on the student to come and pick up their contract.  

  • Teachers will provide assignments equal to the missed classwork; they may assign additional work or assessments to ensure full credit. Students must clarify expectations with each teacher.

  • The student returns the signed contract to Mrs. Cruz (attendance office) for review. The office will keep the original and provide the student a copy.

Completion Process

  • Upon return, students submit completed work to each teacher, who signs the final columns on the contract.
  • The student must also provide one sample assignment per period, stapled to the contract, to Mrs. Cruz for attendance verification.
  • The completed contract and samples are due to Mrs. Cruz by the Final Due Date listed. Requests for extensions must be emailed to Mrs. Cruz (tcruz@rjuhsd.us) before the due date; extensions are rarely granted.
